1. Who we are
Essential Invite (“we”, “us”, “our”) operates the website at ourwed.app. We provide digital wedding invitation and RSVP management services for UK couples and their guests.
For the purposes of UK GDPR, we are the data controller for the personal data processed through this service. You can contact us at support@ourwed.app.
2. What data we collect and why
Couple account data
When you create an account we collect your name and email address. This is used to provide your dashboard, send service notifications, and allow you to sign in.
Guest list data
You upload a guest list containing guest names, household groupings, and optionally email addresses and phone numbers for your guests. This data is used solely to:
- Generate personalised RSVP links and passcodes for each household
- Record RSVP responses and meal choices submitted by your guests
- Produce your caterer report
RSVP responses
When a guest submits their RSVP we record their attendance status, meal choice, and any dietary notes they provide. Guests are informed that their response will be shared with the couple and their catering team.
Usage data
We collect standard server logs (IP address, browser type, pages visited) to operate and maintain the service. We do not use third-party advertising or analytics trackers.
3. How long we keep your data
Guest personal data (names, email addresses, phone numbers, RSVP responses, dietary notes) is automatically and permanently deleted 90 days after the wedding date you registered. This deletion is irreversible and happens automatically — you do not need to request it.
Your couple account data (name and email) is retained for as long as your account is active. You can request account deletion at any time by emailing support@ourwed.app.
4. Sharing your data
We do not sell your data or your guests’ data to any third party.
We share data only as necessary to operate the service:
- Supabase — our database provider, processing data on servers in the EU
- Vercel — our hosting provider
- Postmark — used to send transactional emails (invitation links, confirmation emails)
Each of these sub-processors is bound by appropriate data processing agreements and GDPR obligations.
5. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict processing
- Data portability
To exercise any of these rights, email us at support@ourwed.app. We will respond within 30 days.
You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk.
6. Cookies
We use a session cookie to keep you signed in to your dashboard. This is a strictly necessary cookie and does not require consent. We do not use advertising cookies or cross-site tracking cookies.
7. Children’s privacy
Our service is intended for couples planning weddings, not for children. We do not knowingly collect personal data from anyone under 18. Guest lists may include the names of child guests, but these are provided by the couple (the data controller) and are subject to the same 90-day deletion policy.
8. Changes to this policy
If we make material changes to this policy we will notify you by email. Continued use of the service after notification constitutes acceptance of the updated policy.
